Functional Responsibilities of School / Department Coordinators

The School / Department Coordinator shall act as the departmental nodal support person for the assigned functional area and shall facilitate planning, communication, implementation, monitoring, documentation, and reporting of related activities in coordination with the concerned University Cell / Office / Committee.

The Coordinator shall support admission-related activities of the University by assisting in outreach programmes, school connect initiatives, counselling sessions, exhibitions, promotional activities, follow-up on enquiries, and dissemination of authentic programme information on behalf of the Department / School. The Coordinator shall contribute to enrolment quality, institutional visibility, and transparent communication with prospective students and parents.

The Coordinator shall support the preparation of the Annual Institutional Newsletter by compiling verified annual data and achievements of the Department / School, including academic initiatives, research accomplishments, student achievements, faculty contributions, collaborations, awards, and significant events. The Coordinator shall ensure timely submission of accurate and structured content to the concerned office for annual institutional reporting and publication.

The Coordinator shall support the effective utilization of CAMU ERP and OODO within the Department / School by ensuring timely and accurate updating of attendance, assessments, student records, faculty workload, leave-related inputs, and other relevant academic and administrative data. The Coordinator shall also coordinate with the concerned administrative units to resolve discrepancies, support report generation, and strengthen compliance with digital academic and administrative processes on behalf of the Department / School.

The Coordinator shall support the University’s cultural and sports initiatives by identifying student talent, encouraging participation, coordinating institutional and external events, and facilitating student involvement in cultural, literary, artistic, and sports activities on behalf of the Department / School. The Coordinator shall also coordinate with the concerned office to promote teamwork, leadership, discipline, sportsmanship, and institutional recognition through student achievements.

The Coordinator shall support curriculum development and revision processes by collecting academic inputs, stakeholder feedback, and departmental recommendations for strengthening curriculum relevance and quality. The Coordinator shall facilitate the integration of emerging technologies, outcome-based education practices, multidisciplinary elements, value-added components, and experiential learning suggestions in consultation with the concerned academic bodies on behalf of the Department / School.

The Coordinator shall support the Discipline-related mechanisms of the University by facilitating implementation of institutional rules, code of conduct, anti-ragging measures, gender sensitization initiatives, professional ethics awareness, and student discipline practices within the Department / School. The Coordinator shall identify and report behavioural concerns, promote responsible citizenship, maintain campus harmony, and coordinate with the concerned committee or authority to ensure a disciplined, respectful, and academically conducive environment on behalf of the Department / School.

The Coordinator shall support the planning, coordination, and execution of major institutional events by facilitating departmental participation, coordinating schedules, mobilizing students and faculty, assisting with logistics, and ensuring proper communication and documentation on behalf of the Department / School. The Coordinator shall work with the concerned event office or committee to strengthen institutional identity and stakeholder engagement.

The Coordinator shall support the Institution’s Innovation Council by facilitating ideation activities, innovation challenges, entrepreneurship programmes, hackathons, incubation-related awareness, and student participation in innovation-driven initiatives on behalf of the Department / School. The Coordinator shall promote innovation culture, start-up orientation, and industry linkage in coordination with the concerned University cell.

The Coordinator shall support the IQAC in implementing quality assurance and continuous improvement initiatives within the Department / School. This includes facilitating quality audits, maintaining required quality documentation, coordinating stakeholder feedback, supporting accreditation and ranking-related data requirements, reviewing quality indicators, and implementing quality enhancement measures as guided by the IQAC on behalf of the Department / School.

The Coordinator shall support the effective utilization of library resources and services by promoting access to books, journals, e-resources, databases, and reference materials among faculty and students of the Department / School. The Coordinator shall also gather requirements for new learning resources, encourage reading and information literacy, support library orientation efforts, and coordinate with the library for enhancing academic and research support.

The Coordinator shall support SWAYAM–NPTEL mentoring activities by creating awareness, guiding learners in course selection and registration, monitoring enrolment and completion, encouraging integration of online certifications with academic learning, and facilitating reporting of learner progress within the Department / School. The Coordinator shall work with the concerned University office to strengthen digital learning, certification participation, and lifelong learning practices.

The Coordinator shall support NAAC and academic documentation processes by ensuring that course files, lesson plans, outcome-based education records, attainment reports, assessment records, and supporting academic evidence are prepared, updated, verified, and maintained for the Department / School. The Coordinator shall facilitate documentation readiness for audits, accreditation visits, and internal quality reviews in coordination with the concerned quality and academic authorities.

The Coordinator shall support the planning and implementation of non-academic student activities that promote personal, cultural, social, and leadership development within the Department / School. This includes facilitating student participation in activities related to wellness, arts, music, dance, drama, photography, traditional arts, personality development, and community engagement in coordination with the concerned committee or office.

The Coordinator shall support NSS / NCC-related activities by facilitating student participation in extension programmes, health camps, blood donation drives, environmental awareness campaigns, rural outreach, disaster response initiatives, and national integration activities on behalf of the Department / School. The Coordinator shall coordinate with the concerned unit to strengthen student leadership, social responsibility, discipline, and civic engagement.

The Coordinator shall support the Office of Global Affairs by identifying and facilitating opportunities for international academic partnerships, student and faculty exchange, collaborative publications, internships, visiting scholar interactions, and global events relevant to the Department / School. The Coordinator shall also assist in promoting intercultural learning and supporting internationalization-related initiatives at the department or school level.

The Coordinator shall support placement-related activities by coordinating student registration, internship opportunities, career guidance sessions, aptitude and technical training, soft skill initiatives, recruiter interactions, alumni support, and placement data collection within the Department / School. The Coordinator shall work with the Placement Cell to improve employability, industry readiness, and career outcomes of students.

The Coordinator shall support the University’s promotional initiatives by providing verified content, achievement highlights, student success stories, outreach updates, academic milestones, and other department-level inputs for promotional use. The Coordinator shall coordinate with the concerned office to enhance institutional visibility, reputation, and communication consistency on behalf of the Department / School.

The Coordinator shall support the University’s research, publication, and patent ecosystem by encouraging faculty and students of the Department / School to participate in high-quality research, scholarly publication, consultancy, funded projects, interdisciplinary collaboration, and patent-related activities. The Coordinator shall also facilitate communication, data submission, progress tracking, and coordination with the concerned research office or IPR-related unit.

The Coordinator shall support the preparation of the monthly campus newsletter and press communication by collecting, verifying, and submitting newsworthy departmental content related to academic activities, research, innovation, extension, student achievements, and milestone events. The Coordinator shall facilitate timely communication with the concerned office to ensure proper representation of the Department / School in institutional publications and media outreach.

The Coordinator shall support the functioning of student clubs and professional societies by encouraging student participation, facilitating club activities, mentoring event execution, and coordinating with relevant University authorities and professional bodies on behalf of the Department / School. The Coordinator shall help create opportunities for innovation, leadership, interdisciplinary learning, and organizational development beyond the classroom.

The Coordinator shall support Student Council-related activities by facilitating student representation, encouraging leadership participation, coordinating student concerns through appropriate channels, and assisting student-led initiatives within the Department / School. The Coordinator shall act as a liaison between students and the concerned University authority to promote participative governance and responsible leadership.

The Coordinator shall support the planning and execution of workshops, seminars, symposiums, hackathons, guest lectures, industrial interactions, technical competitions, and other academic events on behalf of the Department / School. The Coordinator shall coordinate with the relevant office, faculty members, and external experts to ensure effective student participation, academic relevance, innovation exposure, and professional competency development.

The Coordinator shall support website content development by collecting, verifying, updating, and forwarding department-related content relating to academic programmes, faculty profiles, research activities, events, achievements, notices, and institutional developments. The Coordinator shall ensure that the Department / School’s website-related information remains current, accurate, relevant, and aligned with University communication standards.
